A business VoIP migration is dependable when the budget covers more than licences and the installation begins before porting day. The network, numbers, devices, security, 9-1-1, failover scenarios and support all need to be validated. Failures rarely come from the concept of VoIP itself; they come from a skipped prerequisite or an untested cutover.

Network requirements for a VoIP installation
Voice travels as packets. It is sensitive to irregular delivery because a packet that arrives too late may no longer help a real-time conversation. Internet call quality therefore depends on four measures considered together: available bandwidth, latency, jitter and packet loss.
Do not adopt one universal threshold without knowing the codec, architecture and provider. Ask for documented requirements, then test them under your conditions. Network checklist
- inventory connections, routers, switches, access points and firewalls;
- test wired and Wi-Fi access in every working area;
- verify the provider’s required ports, protocols and recommended rules;
- provide enough upstream and downstream capacity during peaks;
- prioritize voice during congestion where the architecture supports it;
- separate guest traffic and segment the network where appropriate;
- provide a fallback path for critical seats;
- back up power for equipment that must continue operating.
Wi-Fi is not inherently unsuitable, but a strong average signal can hide a poorly covered room or a handoff between access points that disrupts a call. Test where people actually speak, not only beside the router.

Number portability: move without losing a number
Porting is not a copy-and-paste operation. The receiving provider must validate the account holder, service address, account number and eligibility. A small mismatch with the bill can cause rejection.
Use this order:
- inventory numbers and attached services;
- confirm which numbers are eligible;
- provide a recent bill and avoid account changes during processing;
- keep the old service active;
- assign the cutover window and owners;
- immediately test inbound, outbound, caller ID, texts and 9-1-1 as applicable.
The CRTC advises customers not to cancel before the transfer. A line may also serve a fax, alarm, intercom or terminal. Discovering it after porting creates an avoidable emergency.
Security: protect accounts and conversations
Business IP telephony is an information system. Risks include account takeover, fraudulent calling, exposed recordings, excessive permissions and a configuration that allows costly destinations.
At minimum, assess:
- multi-factor authentication and centralized sign-on where available;
- separate user, manager and administrator roles;
- encryption of signalling, media and stored data as provided by the service;
- international calling controls and unusual-behaviour alerts;
- administration logs and rapid revocation procedures;
- recording, consent, retention, export and deletion policies;
- lost, personal and non-compliant device management;
- supplier commitments for incidents, backups and subprocessors.
Do not stop at a security badge. Ask which controls apply to your plan, which data they cover and who must configure them.
Continuity, 9-1-1 and critical calls
A central-office-powered traditional phone and a VoIP app do not behave the same way during a local outage. If Internet access, Wi-Fi or power fails, the call path may disappear. Plan mobile data, forwarding, a secondary connection or another communication method according to the role’s criticality.
Canadian local VoIP providers have 9-1-1 obligations, but operation varies between fixed and nomadic services. The CRTC recommends verifying 9-1-1 access with the provider. Document the registered address, the process for travelling employees and every limitation disclosed by the service.
